HomeMy WebLinkAboutMinutes May 3 2010AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, May 3, 2010 9:00 a.m. UWEX Conference Room Lancaster, WI The meeting was called to order by Chairman Steve Adrian. Present, in addition to Chairman Adrian were Bob Keeney, Vince Loeffelholz, Lester Jantzen, Grant Loy, Pat Schroeder, Ted Bay, Dolores Schwantes, Joe Lolwing, Jim Ley, Bob Middendorf, Dave Timmerman, Scott Chyko, Betsy Olson, Norma Starrett, LeRoy Ihm, Vira Gotzinger, and Connie Haberkorn. Motion by Lester Jantzen, seconded by Pat Schroeder, the meeting was in compliance with the open meeting law. Motion carried. Motion by Bob Keeney, seconded by Lester Jantzen, to approve the agenda. Motion carried. Motion by Vince Loeffelholz, seconded by Bob Keeney, to approve the minutes of the meeting held April 19, 2010. Motion carried. Joe Lolwing gave the grounds and maintenance report. He reported on extra hire for summer help and said the same people that worked last year will return. Joe did a one hour test run power washing the grandstand. He will check with Ag Blast to see if they could power wash the grandstand and what the cost would be. Joe spoke with John Vesperman regarding baling the grass area. He has proof of insurance. Joe will let John know he can clip the east end of the fairgrounds. Joe spoke to Mark Udelhoven, of Courthouse maintenance and got a push mower that he no longer uses. Joe received an estimate of $780 from J & M to repair the side walk from the Extension Office door east to the parking lot. Joe was instructed to get bids from Todd Wolf and Steve Klaas on replacing the sidewalk. He will also get bids for cement at the livestock facility area. The area will be 25 feet out and full width of the barn and thickness will advised by the contractor. Scott Chyko from Delta 3 was present to discuss the Youth & Ag Center roof project. Motion by Pat Schroeder, seconded by Bob Keeney, to accept the contract in the amount of $109,175 with Geisler Bros., Dubuque, Iowa, with the revised changes regarding insulation and using the recommendations from Delta 3. The project will be completed no later than August 9. Motion carried. Ted Bay presented UW-Extension business. Ted introduced the UW-Extension staff to the new committee members. The CNRED position will be reviewed. Bryan Wood has been hired as the interim CNRED agent. Dolores Schwantes presented Fair and Fairgrounds business. Jim Ley from the Grant Antique Tractor Club was present to discuss toy tractor sales and thanked the Fair Board for their compensation for the tractors the club sold. Motion by Bob Keeney, seconded by Grant Loy, to sign the contract with Lyle Foley and the Jokers Wild to play Friday, August 20, 1:30-3:00 p.m. and 5:30-7:00 p.m. in the Entertainment Tent at the 2010 Grant County Fair, receiving payment of $200. Motion carried. Motion by Bob Keeney, seconded by Lester Jantzen, to sign the contracts with the Knights of Columbus for Thursday, August 19, and Blakes Prairie Fair for Sunday afternoon, August 22, to run the beer hall at the 2010 Grant County Fair. Motion carried. Southern Grant Road Crew is willing to work the food stand Wednesday night and the beer hall on Sunday night of the 2010 fair. The fair board will request to receive the contract to host races at the 2010 Fair from Keith Simmons (Simmons Promotion, Inc.) by May 17, the next committee meeting. The fair book will be available on line again this year. Motion by Pat Schroeder, seconded by Grant Loy, to send one hard copy of the 2010 Grant County Fair book to the main leader of each 4-H club. Motion carried. The superintendents will receive a hard copy of their corresponding department. Betsy Olson stated that there may be one club interested in the 50/50 raffle and will let her know the outcome of their vote. Recess at 11:00 a.m. to view shelving and table displays used during the fair in the crops building. Reconvene at 11:30 a.m. Input was received from superintendents in open and junior class flowers and the open and junior class plant and soil science departments regarding their preference of shelving or table top displays. Dave Fritz contacted Dolores requesting the return of the Harry Nohr wood turner demonstration at the 2010 fair. Sponsorship in the amount of $350 was received from Harry & Laura Nohr Trout Unlimited for the Korob Portable Trout Pond that will be at the 2010 Fair. Committee members will work on getting more sponsorship for the pond. The building committee formed of members Joe Pink, Carson Alcorn, Nikki Wetter, Mary Wackershauser, Kyle Vesperman and John Reding have all agreed to be on a building fund committee. A meeting will be held May 12 at 7:00 p.m. in the Conference Room of the Youth & Ag Center to establish timelines and discuss funding. The City of Lancaster plans to give $1500 sponsorship for two years to the fair but have no plans for naming rites of a building. The bear sign at the entrance to the fairgrounds will stay in place and will be resealed. Insurance money has been received from hail damage to Youth & Ag Center and the fairgrounds’ buildings. Motion by Pat Schroeder, seconded by Bob Keeney to use $15,000 for the Youth & Ag Center roof replacement and put the balance in a fund for maintenance and repair on fairgrounds’ buildings. Motion carried. Motion by Vince Loeffelholz, seconded by Bob Keeney, to move to closed session. Roll call vote was taken and passed unanimously. Motion carried. Motion by Pat Schroeder, seconded by Lester Jantzen, to return to open session. Motion carried. Motion by Vince Loeffelholz, seconded by Grant Loy, to adjourn until May 12, 2010.
