HomeMy WebLinkAboutMinutes March 22 2011AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Tuesday, March 22, 2011 9:00 a.m. UWEX Conference Room Lancaster, WI The meeting was called to order by Chairman Steve Adrian. Present, in addition to Chairman Adrian were Bob Keeney, Vince Loeffelholz, Lester Jantzen, Pat Schroeder, Grant Loy, John Patcle, Ted Bay, Brian Heinrichs, Dolores Schwantes, Dave Wachter, Betsy Olson, Linda Hahn, Karin Peacock, Mark Hoffman, Scott Chycko, Todd Wolf, John Reding, Dave Vaassen, Rick Sanson, Pat Garske, Jon Satterlee, Bob Middendorf and Dave Timmerman. The meeting notice was posted at the Administration Building, Youth & Ag Center and media outlets by Jenny Belscamper. Motion by Vince Loeffelholz, seconded by Bob Keeney, to approve the agenda. Motion carried. Motion by Pat Schroeder, seconded by Bob Keeney, to approve the minutes of the meeting held March 4, 2011. Motion carried. Brian Heinrichs gave the grounds and maintenance report. After the show barn dries out he will put down fines and saw dust. Motion by Bob Keeney, seconded by Pat Schroeder to order a load of fines from Kowalski Kieler for the show barn. Motion carried. Ted Bay presented Grant County Extension and Youth & Ag Center business. Motion by Vince Loeffelholz, seconded by Grant Loy to send letters from Dave Wachter, Dairy & Livestock Agent and Betsy Olson, 4-H Youth Development Agent, as written responses to Brenda Martin’s letter of concerns. Motion carried. Bob Keeney abstained. Farm Progress Days scholarships were reviewed. Motion by Bob Keeney, seconded by Pat Schroeder, to offer the Farm Progress Day Scholarship to the applicant from Cassville. Motion carried. Linda Hahn shared information on the Grant County Cancer Coalition and Avery’s Duck Race and discussed rental rates for use of buildings for fundraising events. Avery’s Duck Race will be discussed at the next meeting. Motion by Pat Schroeder, seconded by Lester Jantzen to waive the fee for the Youth and Ag Center for the Grant County Cancer Coalition fundraising event June 18, 2011. Motion carried. Karin Peacock, Grant County Master Gardener Association president, gave a presentation on the association and discussed the plant sale held in the Crops Building. She also shared information about what proceeds from the sale are used for. The Grant County Master Gardeners donated $50 to the Crops Building from the proceeds from their 2010 plant sale. Motion by Pat Schroeder, seconded by Vince Loeffelholz, to waive the rental fee for the Crops Building for the Master Gardener Plant sale on May 7 and for setup on May 6, 2011. Motion carried. Mark Hoffman gave a presentation on llamas and requested to hold a one-day exhibition show lasting 4-5 hours with no judging at the 2011 Fair. Motion by Vince Loeffelholz, seconded by Lester Jantzen, to hold a llama exhibition/ demonstration at the 2011 Grant County Fair on Wednesday, August 17 from 5:00-9:00 p.m. in the open show barn. Motion carried. Motion by Grant Loy, seconded by Vince Loeffelholz to pay Youth & Ag Center and Extension vouchers. Motion carried. Discussion was held on Lancaster Chamber of Commerce sponsorship correspondence regarding the Big Wheels event. Motion by Pat Schroeder, seconded by Bob Keeney to accept proposed letter for sponsorship with change. Motion carried. Dolores Schwantes presented Fair and Fairgrounds business. Motion by Bob Keeney, seconded by Lester Jantzen to continue with the Promote the Fair contest. Motion carried. Motion by Lester Jantzen, seconded by Pat Schroeder to allow Dolores to ask Public Property Committee to use money from the gravel account for a laptop computer. Motion carried. Motion by Vince Loeffelholz, seconded by Pat Schroeder, to approve Fair vouchers. Motion carried. Motion by Bob Keeney, seconded by Grant Loy to change the single gate admission from $4 to $5 and leave all others at the same rate. Motion carried. Scott Chyko, Delta 3, gave an update on the Eckstein Exhibit Hall. A change order is needed to put outlets on the exterior of the building. Motion by Pat Schroeder, seconded by Bob Keeney to allow the change order as submitted. Motion carried. Discussion was held on memory blocks and a brochure regarding fund raising for the Eckstein Exhibit Hall. Swine department recommendations were discussed with Fair Superintendent John Reding. Motion by Lester Jantzen, seconded by Grant Loy to make the swine change to read: All swine unloaded at the Grant County Fair must go to slaughter at the close of the fair on Sunday. Motion carried. The Livestock Auction Committee will be instituting a grading process of all swine projects for educational purposes only for the 2011 fair. Rick Sanson, Jon Satterlee and Pat Garske presented information on the Texaco Country Showdown. Motion by Pat Schroeder, seconded by Vince Loeffelholz to enter into agreement with WGLR to hold the Texaco Country Showdown on Sunday, August 21 of the 2011 Fair starting at 2:00 p.m. Motion carried. Dave Vaassen from the Ghost Riders ATV Club was present to discuss the possibility and options of holding an event on the Fairgrounds. Motion by Vince Loeffelholz, seconded by Bob Keeney to apply for a credit card for the Fair Department with Finance Committee approval. Motion carried. Motion by Pat Schroeder, seconded by Grant Loy to rent bleachers to the Village of Bagley for $300 each to be returned in the same condition as taken and show proof of insurance with Grant County named as additional insured. Motion carried. Motion by Vince Loeffelholz, seconded by Grant Loy, to adjourn until Friday, April 1, 2011. Motion carried.
