HomeMy WebLinkAboutMinutes May 2 2011AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, May 2, 2011 9:00 a.m. UWEX Conference Room Lancaster, WI The meeting was called to order by Chairman Steve Adrian. Present, in addition to Chairman Adrian were Bob Keeney, Vince Loeffelholz, Lester Jantzen, Pat Schroeder, Grant Loy, John Patcle, Ted Bay, Dolores Schwantes, Brian Heinrichs, Angie Day, Bob Middendorf and Jerry Efferding. The meeting notice with amended agenda was posted at the Youth & Ag Center and Fair Office by Lori Vesperman. Motion by Bob Keeney seconded by Grant Loy, to approve the amended agenda with correction. Motion carried. Motion by Vince Loeffelholz, seconded by Bob Keeney, to approve the minutes of the meeting held April 21, 2011. Motion carried. Brian Heinrichs gave the grounds and maintenance report. Brian was directed to have the pole between the Eckstein Exhibit Hall and Poultry Building removed the most economical way. He will save some of the straw left from events for mulch. He was also directed to contact Taylors to install a seamless gutter of appropriate size the length of the milk house. Ted Bay presented Grant County Extension and Youth & Ag Center business. Ted shared information regarding applying for a grant for a sound system. Motion by Pat Schroeder, seconded by Lester Jantzen, to allow the Extension office to apply for a grant, with no matching funds, for a sound system. Motion carried. Dolores Schwantes presented Fair and Fairgrounds business. Discussion of Eckstein Exhibit Hall Grand Opening was held. Motion by Vince Loeffelholz, seconded by Grant Loy to purchase meat from Webers Processing and condiments from Kyle Vesperman. Motion carried. Motion by Bob Keeney, seconded by Pat Schroeder to spend up to $250 on radio advertising. Motion carried. Motion by Lester Jantzen, seconded by Vince Loeffelholz to accept the contract with the Knights of Columbus and the Farm Bureau lease. Motion carried. Junior Fairest of the Fair was discussed. Motion by Pat Schroeder, seconded by Bob Keeney to name Jenna West as 1st Place Fairest and Liz McPhail as runner up. Motion carried. Discussion was held on the proposed layout of the brick patio by the Eckstein Exhibit Hall. Motion by Pat Schroeder, seconded by Bob Keeney, to stay with the Delta 3 designated patio area. Motion carried with one no vote. Angie Day was present to discuss the Big Wheels event and an event on the square on July 29. Motion by Lester Jantzen, seconded by Pat Schroeder to allow Queen B Radio, in a joint venture with the Lancaster of Chamber of Commerce, to reserve the Eckstein Exhibit Hall for July 29 in case of rain, paying out of pocket expenses. If the building is not used there will not be a charge. Motion carried. Inside vendor space rent was discussed. Motion by Vince Loeffelholz, seconded by Grant Loy to charge $100 for inside vendor space in the Eckstein Exhibit Hall. Vince and Grant withdrew their motions until sites are reviewed. Motion by Pat Schroeder, seconded by Grant Loy that state fair selection event clean up the facility same as they have in the past. Motion carried. Jerry Efferding was present to discus go-cart racing on the fairgrounds. Motion by Pat Schroeder, seconded by Vince Loeffelholz to allow CEKR, LCC (Jerry Efferding) to use the facilities for go kart races at a cost of $100 plus expenses per event, also meeting contract requirements. Motion carried. Motion by Bob Keeney, seconded by Lester Jantzen, to pay the livestock claim from Lancaster Vet Clinic in the amount of $562.75. Motion carried. Motion by Lester Jantzen, seconded by Vince Loeffelholz, to adjourn until May 3, 2011 at 1:00 p.m. The next meeting will be held May 16, 2011 at 9:00 a.m. Motion carried.
