HomeMy WebLinkAboutminutes fair June 2012AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, July 23, 2012 6:00 p.m. UWEX Conference Room Youth & Ag Center Lancaster, Wisconsin Meeting reconvened by Chairman John Patcle. Present in addition to Chairman Patcle was Bob Keeney, Vince Loeffelholz, Roger Guthrie, Grant Loy, Patrick Schroeder, Amy Olson, Members of the organization that will be helping with operations of the fair and late entries personal. Meeting notice was posted in the Fair & Extension lobbies and at the County Administration building. At 6:00 pm the board met with the food and beer organizations. West Grant Lions Club (Beer) and Blakes Prairie Fair ( Beer ) Representatives were not present. Tom Nies representing Blaked Prairie Fair did call in and everything is ok with them. Discussion on S.O.C. coming in at a later time on Saturday because of low traffic. Agreed to have them come in at 1:00pm instead of 11:00am. Also making sure a couple of representatives would be here by 3:30pm daily to start grilling. Will have the same menu Wednesday thru Sunday. Amy will have Brian check out the propane tanks to get them ready and make sure the grills work. Jane from the Road Crew will be in charge of the food stand this year and will be ordering food. Amy has taken care of the soda and beer. New signs have been made for the food stand by Coca Cola. Jack Johnson ( Sherriff Dept. ) was not present. Dr. Tom Hermsen expressed his concern on limited vets but feels as though he has it covered and that non-vets at the table need to let the vets do their job during check in. Representative from the City of Lancaster was there in place of Steve Zabel. Discussion about bringing back the speed bump board and a few extra people. Teen tent needs to be watched closely Friday night because of 4 plasma tv’s. Jim Hying representing the American Legion for admission tickets was present. Agreed to pay the legion $1000.00 for this years’ service. There will be a can at each gate for donations to the Honor Flight network, to transport veterans to Washington DC sometime. Color Guard will be Thursday night at 6:45 pm. Representative from the Jaycees was present, Tammy Wagner could not make it. Same menu as last year. They will be selling in the pits one night. Larry Jerrett, representing Farm Bureau, same menu as last year. They will be selling in the pits one night. Pat Klug and Jill Jentz, representing the Sales Pavilion, same menu as last year and they would like to sell their popcorn machine if anybody is interested. Amy will check with David Bahl to spray again for flies, the grandstand will be done at the same time. Randy Peterson was there to check over contracts for additional insured with Amy Olson and will stop later to go over the rest. Alyssa will be in August 16th at 9:00am to do a walk through. Steve Braun discussed the fire departments part of the fair. Also discussion on the 2012 Emergency Plan. Motion made to accept the Emergency Management Plan and give John Patcle the authority to sign the papers, Motion made by Pat Schroeder, seconded by Roger Guthrie. Motion carried. Jackie Edge called Amy to discuss their role at the fair, she was unable to attend. They will be available Thursday – Sunday with help from other communities. Rick Knutson, representing the boy scouts will be there. The boy scouts clean-up is for $100.00 per event. Amy Olson reported Reynolds Electric will be taking care of the electricity for the fair and Grant County Nurses will be staffing the First Aid Station. Brian Heinrichs will take care of the garbage clean up and manure clean up. Motion by Roger Guthrie, seconded by Pat Schroeder to adjourn to August 16, 2012.
