HomeMy WebLinkAboutChula Vista Minutes 2013AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Sunday, Monday, Tuesday, Wednesday January 6,7,8,9, 2013 Chula Vista Resorts Wisconsin Dells, WI Sunday, January 6th The meeting was called to order by Chairperson, John Patcle, in addition to Chairperson Patcle were Vince Loeffelholz, Pat Schroeder, Roger Guthrie, Grant Loy, Larry Wolf, and Amy Olson. The meeting notice was posted at the Administration Building, Extension Office, Youth & Ag Center, and media by Amy Olson Motion by Pat Schroeder, seconded by Grant Loy to approve the agenda. Motion carried. The Board met and discussed Thursday night entertainment. Need more lighting on the track as it gets dark and the event isn’t over. Questionable whether or not to have pig mud wrestling and mutton bustin. Talk was possibly doing something different that night. Discussed waivers and if they need to be signed or not. Discussed the schedule for Monday’s workshops and that we need to meet with Calkins and Tower Sound. Discussion was also held on the Big Wheels Event as Badger State was never informed of cancellation and still had the date open for the event. Discussed Friday nights tractor pull. Tri-State does have some issues with having the local pull with them. Need to decide what we are going to put in the grandstand Saturday night and who we put with Tri-State Friday night. Recess til call of Chair. Monday, January 7th Those present were John Patcle, Bob Keeney, Vince Loeffelholz, Pat Schroeder, Roger Guthrie, Grant Loy, Larry Wolf and Amy Olson. Committee attended the different workshops in the morning. Discussion on what to put in the Wolf Construction/Head Zup Salon Entertainment Tent. Friday night will be Southland Entertainment – Stevie J. Motion by Pat Schroeder, seconded by Grant Loy. Motion carried. Friday afternoon will be The Larry Busch Band. Motion by Roger Guthrie, seconded by Bob Keeney. Motion carried. Saturday and Saturday night is still open. Showcases are tonight and tomorrow night for acts also see what the trade show has. Discussed Thursday night grandstand event. Possibly having calf catching and bed races. Pat will call Casey Keristen about calves. Motion was made by Roger Guthrie to have the Pig Mud Wrestling back. Motion failed. Discussion on the tractor pulls. Possibly having the Mini Rods pull with Tri-State and the locals on Saturday night with Dairyland Antique. Recess till call of Chair. Tuesday, January 8th Those present were John Patcle, Bob Keeney, Vince Loeffelholz, Pat Schroeder, Roger Guthrie, Grant Loy, Larry Wolf and Amy Olson. Committee attended the different workshops in the morning. I went to Regalia and ordered ribbons and stickers for 2013 fair and ordered the poster for the fair the same as last year. I attended the Secretary/Treasurer Workshop. Discussion on entertainment in the Wolf Construction/Head Zup Salon Entertainment Tent for Saturday. We are going to see what WGLR comes back with at January 21st meeting and then make a decision. Motion by Roger Guthrie, seconded by Grant Loy to have the Mini Rods pull with Tri State Truck and Tractor Pull Friday night. Motion carried. Motion by Bob Keeney, seconded by Grant Loy to have Kindshi Pedal Pull on Friday , August 16th at 4:00pm. Motion carried. Talked about sound system. Met with Tower Sound yesterday. Need to have sound system locked and also the locks changed on the announcer stand to prevent those that possibly have keys from years past to get into the announcer stand. With that the Grandstand will also have locks changed on all 3 doors. Motion by Bob Keeney, seconded by Vince Loeffelholz to change the locks on the announcer stand and grandstand doors. Motion carried. Discussion on Sunday afternoon and Sunday night grandstand events. Talk of having Hard Hit Promotions doing a Demo Derby Sunday afternoon and The Night of Destruction Sunday night. Motion by Pat Schroeder, seconded by Vince Loeffelholz to have a Demo Derby Sunday during the day and Night of Destruction Sunday night by Hard Hit Promotions. Motion carried with Roger Guthrie as a no vote. Discussed June’s event at the fairgrounds. Came up with a name “Grant County Summerfest” Motion by Vince Loeffelholz, seconded by Roger Guthrie to name the event Grant County Summerfest. Motion carried with John Patcle as a no vote. Other fair business that was talked about was Promote the Fair Contest - Steve & LuAnn Adrian will sponsor the event again. Motion by Pat Schroeder, seconded by Bob Keeney to have the Promote the Fair Contest sponsored by the Steve & LuAnn Adrian. Motion carried. Poster contest – Pat & Karen Schroeder will sponsor the event again. Motion by Pat Schroeder, seconded by Grant Loy to have the Poster contest sponsored by the Pat & Karen Schroeder. Motion carried. Kids Tent – Amy will talk to Brogley’s at Scott Implement and see if they would like to sponsor this again. Motion by Bob Keeney, seconded by Roger Guthrie to have the Kids Tent again. Motion carried. Fairest of the Fair and Junior Fairest of the Fair – Motion by Grant Loy, seconded by Pat Schroeder to have the Fairest of the Fair and Junior Fairest of the Fair for 2013. Motion carried. Buckets of Blooms – Motion by Roger Guthrie, seconded by Grant Loy to have the Bucket of Blooms contest at the 2013 fair. Motion carried. Discussed having a can food drive at this years fair. All across the U.S. fair are going to do this in 2013 called Dream Big in 2013. Ideas were discussed on how to implement this into our fair. Calkins will be doing something with ride passes for this. Recess till call of Chair. Wednesday January 9th Those present were John Patcle,Vince Loeffelholz, Pat Schroeder, Roger Guthrie, Grant Loy, Larry Wolf, and Amy Olson. We all attended the annual business meeting and workshops in the morning. Met with Calkins to discuss this year’s fair. Calkins will also support the sponsorship of the Mega ride tickets one half price for sponsorship and sponsor the brochure again. Discussed Thursday night grandstand event. Roger Guthrie and Vince Loeffelholz will contact FFA Chapters to see if they would be interested in bed racing with possible obstacle course. Talked about the Sponsorship workshop and how to implement those ideas into our fair to raise money. Discussion held on Saturday night grandstand event. Motion by Pat Schroeder, seconded by Grant Loy to have Jeremy Reuter do the local pull and also have the Dairyland Antiques pull that night. Motion carried with Vince Loeffelholz as a no vote. Discussed Saturday’s entertainment in the Wolf Construction/Head Zup Salon Entertainment Tent. Ideas were presented as to what to have in the afternoon. Monty Berger is interested in playing. Amy is to look into DJ’s and see who is around locally. Will talk about this at our next meeting. Saturday evening will be discussed more at the next meeting so we can talk to WGLR and see what they have to offer. Grant County Summerfest was talked about. Motion by Grant Loy, seconded by Roger Guthrie to have the a Grant County Summerfest on June 29, 2013 with a Tractor Pull by Badger State along with a farmers market and flea market/craft fair. Motion carried with Pat Schroeder and Vince Loeffelholz as no votes. Motion by Grant Loy, seconded by Roger Guthrie to adjourn until Monday, January 21st. Motion carried.
