HomeMy WebLinkAboutMinutes January 21 2013AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, January 21, 2013 9:00 a.m. UWEX Conference Room Lancaster, WI The meeting was called to order by Chairman John Patcle. Present, in addition to Chairman Patcle were Bob Keeney, Vince Loeffelholz, Pat Schroeder, Roger Guthrie, Grant Loy, Larry Wolf, Dave Wachter, Amy Olson, Mary Yager, Rita Harmon, Amy Kwallek, Betsy Olson, Ryan McCall, Rick Sanson and Dave Timmerman. The original meeting notice was posted at the Administration Building, Extension Office, Youth & Ag Center, and media by Jenny Dixon with amended meeting notice posted at the Administration Building, Extension Office and Youth & Ag Center. Motion by Grant Loy, seconded by Vince Loeffelholz, to approve the agenda. Motion carried. Motion by Roger Guthrie, seconded by Grant Loy, to approve the minutes of the meetings held December 17, 2012, January 6, 7, 8, 9 and 14, 2013. Motion carried. Amy Olson gave the grounds and maintenance report. Discussion was held on locating electrical lines on the fairgrounds. Amy will check into this. Motion by Pat Schroeder, seconded by Roger Guthrie to approve Youth & Ag Center and Fairground vouchers. Motion carried. Dave Wachter presented Grant County Extension and Youth & Ag Center business. Mary Yager was present to discuss holding a farewell/retirement party in the Youth & Ag Center for the Aging and Disability Resource Center Director. Motion by Pat Schroeder, seconded by Bob Keeney to allow A DRC to hold a retirement party for a long-time county employee at no cost. Motion carried. Betsy Olson shared the Grant County Extension Office Assessment Survey results of over 300 responses with the committee. Agent performance reviews will be held Friday, March 22, at 9:00 a.m. Motion by Roger Guthrie, seconded by Grant Loy, to approve Extension vouchers. Motion carried. Amy Olson presented Fair and Fairgrounds business. Amy Kwallek was present to discuss Grant County Summerfest and the possibility of the Lancaster Chamber involvement. Motion by Vince Loeffelholz, seconded by Pat Schroeder to have the band TKO Saturday afternoon in the entertainment tent for four hours at a cost of $350 and also for an opening act if needed. Motion carried. Joe Krantz, Hard Hit Promotions, would prefer a 2-year contract for $6,000/year adding hot wheel and truck classes. Motion by Pat Schroeder, seconded by Grant Loy to accept a 2-year contract with Hard Hit Promotions for $6,000 ($3,000/year) for Sunday at noon and 6:00 p.m. Motion carried. Motion by Vince Loeffelholz, seconded by Grant Loy to keep fair prices the same for 2013. Motion carried. Motion by Roger Guthrie, seconded by Bob Keeney, to allow late fair entries until July 29, 2013 at 4:00 p.m. for junior and open classes with a $10 late fee. Motion carried. Ryan McCall and Rick Sanson were present to discuss fair entertainment. Motion by Pat Schroeder, seconded by Vince Loeffelholz, to enter into contract for entertainment with WGLR at a cost of $8,000. Sponsorship will be left open for negotiation. Motion carried. Motion by Grant Loy, seconded by Bob Keeney, to have a name place made for the Eckstein Exhibit Hall for the Lancaster Sluggers donations. Betsy Olson presented fair book changes. Motion by Pat Schroeder, seconded by Roger Guthrie, to accept the proposed fair book changes. Motion carried. Amy discussed having a 4-H challenge for a canned food drive. Motion by Roger Guthrie, seconded by Bob Keeney, to join the International Association of Fairs and Expositions at a cost of $100/year membership. Motion carried. Motion by Bob Keeney, seconded by Vince Loeffelholz, to pay the Fair vouchers. Motion carried. The deadline for the Fairest of the Fair Contest is April 12 with the banquet being held April 30. Motion by Pat Schroeder, seconded by Bob Keeney, to pass the livestock claim from Lancaster Veterinary Clinic in the amount of $300.30 to be paid in full on to the full county board. Motion carried. Received $318.62 estimate from Steve McPhail for new show ring gates in the swine barn. Steve is working on estimates for holding pens.
