EDUCATION/FAIR COMMITTEE MEETING
Monday, March 18, 2013
9:00 a.m.
UWEX Conference Room
Lancaster, WI
The meeting was called to order by Chairman John Patcle. Present, in addition to Chairman
Patcle were Bob Keeney, Vince Loeffelholz, Pat Schroeder, Grant Loy, Roger Guthrie, Larry
Wolf, Bev Doll, Amy Olson, Joyce Roling, Troy Pitts, Dave Wachter, Dorothy Eck, Ryan
McCall, Rick Sanson and Jeremy Reuter.
The meeting notice was posted at the Administration Building, Extension Office and Youth &
Ag Center by Lori Vesperman.
Motion by Pat Schroeder, seconded by Grant Loy, to approve the amended agenda. Motion
carried.
Motion by Vince Loeffelholz, seconded by Bob Keeney, to approve the minutes of the meeting
held March 4, 2013. Motion carried.
Amy Olson gave the grounds and maintenance report.
Amy shared information she received from Vanguard regarding locating underground utilities
near the Eckstein Exhibit Hall.
Troy Pitts, Alliant Energy, was present to discuss electrical layout on the fairgrounds. He stated it
would be more cost effective to keep things as they are.
Discussion was held on water pipes in the Eckstein Exhibit Hall.
Motion by Grant Loy, seconded by Vince Loeffelholz to approve Youth & Ag Center and
Fairground vouchers. Motion carried.
Bev Doll presented Grant County Extension and Youth & Ag Center business.
The WACEC Conference was discussed.
The committee reviewed Farm Progress Days Scholarship applications.
Motion by Bob Keeney, seconded by Roger Guthrie to award the Farm Progress Days
Scholarship to Abby Kunkel. Motion carried.
Motion by Pat Schroeder, seconded by Grant Loy, to approve Extension Office vouchers. Motion
carried.
Dave Wachter shared information that a person wants to make an anonymous donation in
memory of Elton Kies. They would like to provide a sign to be located in the sale pavilion,
behind the auctioneer, during the livestock auction at the Grant County Fair.
Motion by Bob Keeney, seconded by Pat Schroeder, to accept an anonymous donation in
memory of Elton Kies. Motion carried.
Motion by Bob Keeney, seconded by Pat Schroeder to move to closed session pursuant to per
state statute 19.85 (1) (c) considering employment, promotion, compensation or performance
evaluation data of any public employee over which the governmental body has jurisdiction or
exercises responsibility as it relates to the performance evaluation of the Fair Manager. Roll call
vote unanimous. Motion carried.
Motion by Pat Schroeder, seconded by Roger Guthrie, to return to open session. Motion carried.
Dorothy Eck was present to discuss using the Eckstein Exhibit Hall for the Lancaster Veterans
Memorial fundraiser.
Motion by Pat Schroeder, seconded by Vince Loeffelholz to waive the fee for use of the Eckstein
Exhibit Hall except for utilities on August 2 and 3, 2013. Motion carried.
Pat and Karen Schroeder will cover the cost of utilities for the Lancaster Veterans Memorial
fundraiser.
Amy Olson presented Fair and Fairgrounds business.
Sara Johnson will manage the fair’s two agriculture stations along with her dairy displays during
the fair.
The Spring District Meeting will be held Thursday, April 11 in Elroy, WI.
Thursday night entertainment was discussed.
Suggestions were shared for beer sales during the Fair.
Motion by Vince Loeffelholz, seconded by Grant Loy to move to closed session pursuant to
Wisconsin Statute Section 19.85(1)(e) for the purpose of deliberating or negotiating the
purchasing of public properties, the investing of public funds or conducting other specified
public business, whenever competitive or bargaining reasons require a closed session as it relates
to contract discussions for entertainment at the 2013 Grant County Fair. Roll call vote
unanimous. Motion carried.
Motion by Pat Schroeder, seconded by Roger Guthrie, to return to open session. Motion carried.
Motion by Roger Guthrie, seconded by Grant Loy, to accept contract with Queen Bee Radio
Station for Country Showdown on August 18 at the Grant County Fair. Motion carried.
The summer event being held on June 29 was discussed.
Motion by Pat Schroeder, seconded by Bob Keeney, to accept WGLR contract proposal Package
#1 with 10% discount, for Texaco Country Showdown preliminaries at the June 29 summer
event, pending approval of Lancaster Chamber of Commerce. Motion carried.
Jeremy Reuter was present to discuss the local truck and tractor pull at the Grant County Fair. He
will send payout information to Amy.
Motion by Bob Keeney, seconded by Roger Guthrie, to go with Southwest Pullers for diesel
truck class and 466 altered farm tractor class along with 7 other classes, to be paid by the Grant
County Fair. Motion carried.
Fair promotion and sponsorship was discussed.
Motion by Pat Schroeder, seconded by Grant Loy, to pay the Fair and Fairgrounds vouchers.
Motion carried.
The Livestock Auction Committee will pay for new gates for showring and holding pens in the
swine barn.
Set agenda for April 1, 2013, meeting.
Motion by Roger Guthrie, seconded by Vince Loeffelholz to adjourn until March 22, 2013.
Motion carried.
Adjourned at 12:20 p.m.
The next scheduled meeting is April 1, 2013, at 1:30.
