EDUCATION/FAIR COMMITTEE MEETING
Monday, July 7, 2014

Meeting was called to order by Chairman John Patcle. Present in addition to Chairman Patcle
was Bob Keeney, Mark Stead, Dan Timmerman, Roger Guthrie, Grant Loy, Patrick Schroeder,
Amy Olson, Brian Heinrichs, Brenda Halverson, and members of the organization that will be
helping with operations of the fair.
Meeting notice was posted in the Fair & Extension lobbies and at the County Administration
building and sent to media and paper.
Motion by Mark Stead, seconded by Grant Loy to approve the amended agenda. Motion carried.
At 5:30 pm the Grant County Fair Board met
Present was Keith from Simmons Promotions and Amy Bell Kwallek from the Lancaster
Chamber. Discussion was held in regards to the Summer Festival rain out for the racing. Keith
will honor all pit passes for those that want to return and enter in the Grant County Fair. He will
also honor all tickets that spectators took that evening for admission to the racing for the Grant
County Fair. Summer Festival will pay Simmons Promotions for those grandstand tickets that
get turned back in at fair time.
Amy presented the new price for tent rental this year with Bel-Aire Rental Inc. for the fair. The
price increased $600.00 but will be locked for the next 3 years.
Blacktopping at the fairgrounds was discussed. There are 3 areas that need improvement this
year. Motioned by Pat Schroeder, seconded by Roger Guthrie to approve the Grant County
Highway department’s proposal for blacktopping at the fairgrounds. Motion carried. This will
be paid for out of the fair’s Public Property account.
Plaques will be ordered for Outstanding Fair Person for 2014.
At 6:00 pm the Grant County Fair Board met with Food & Beer Organizations
Present for the food organizations were Jane Tennessen representing the Southern Grant Road
Crew, Kevin & Cheryl Raisbeck representing St. Clement School, and Chuck Fralick
representing Bloomington Sportsman’s Club. Discussion on what nights each organizations was
working, the times, how many workers are needed and where supplies are located. We will have
the same menu as last year. Jane will be the go to person in charge of the food stand but will not
be on the grounds for Friday night or Saturday night events. Dan Timmerman has agreed to help
out Jane this year and be the person in charge when Jane isn’t around. Jane informed the board
that next year she will not be available for the entire fair, only the nights that Southern Grant
Road Crew is working. She is needed at her full time job but still intends on helping with the
ordering of food only. Dan Timmerman has agreed to take over for Jane’s position next year.
She is purchasing all food this year and bringing a large grill to do most of the grilling on.
Present for the beer organizations were Tom Neis representing Blakes Prairie Fair, Jane
Tennessen representing Southern Grant Road Crew and Kent Cohen representing Lancaster
Sluggers. Joe Loy of the Knights of Columbus and Tom Hoffman of the Bloomington Fire
Department were not present. Discussion was held on nights each organization is working and
times they need to be there. Blake’s Prairie Fair and Southern Grant Road Crew will not be able
to work Saturday this year. Lancaster Sluggers have agreed to add Saturday to their current
schedule to help us out. Motioned by Mark Stead, seconded by Pat Schroeder to have Lancaster
Sluggers work Saturday night’s beer stand. Motion carried.
At 7 pm the Grant County Fair Board met with other cooperators.
Dr. Tom Hermsen (Grant County Veterinaries) was not present for the meeting.
Jack Johnson representing the Sherriff Department called Amy to let her know he would not be
present. He also informed Amy that he will keep the same hours as last year but the rates have
increased this year to $20.33 an hour. Jack offered to pay the difference this year. The fair will
continue to pay $15.00 of this rate and Jack will pay the remaining $5.33 for this year only.
Motioned by Dan Timmerman, seconded by Grant Loy to accept Jack Johnson’s proposal of
paying the remaining $5.33 for each security person on duty at fair time for this year only.
Motion passed.
Deb Reukauf ( City of Lancaster ) was unavailable but did call Amy and had no concerns.
Jim Hying representing the American Legion for admission tickets was present. Discussion on
the man hours they put into the fair, and opening ceremony with the Color Guard marching
before the National Anthem begins Thursday night. Amy will get a gator for Jim to use during
fair and Jim can park his camper in the same spot as last year.
Representative from the Jaycees, Tammy Wagner was present. No changes and they will have
the same menu as last year but will have to increase prices a little. Discussion on where to put
the dumpster that is by their stand, moving the Pepsi truck, and having more variety available for
food for the pits Friday night.
Larry Jerrett, representing Farm Bureau, was present. They will have the same menu as last year
possibly adding pop. They look to increase their prices a little. They will be selling in the pits
Saturday night.
Pat Klug and Jill Jentz, representing the Sales Pavilion, were present. They will have the same
menu as last. Amy has already asked David Bahl to spray again for flies, the grandstand will be
done at the same time. They need 4 parking signs next to the pavilion and a pass for John Weigel
to grill steak sandwiches. Discussion on organizations using the kitchen facilities and not
cleaning it properly and moving around the ice cream machine. Amy will check into this.
Steve Braun discussed the fire departments part of the fair. Reminder to make the
superintendents aware that there is an Emergency Plan in place in case of bad weather. He plans
to be on the grounds again this year and having EMT’s helping him.
Steve Braun also represented the Lancaster Ambulance Service. They can provide services for
Wednesday night’s event, Sunday afternoon event, and Sunday night’s event this year only. Amy
will look into another community to help us Friday and Saturday night.
Rick Knutson, representing the boy scouts was present. No changes for this year.
Amy Olson reported Reynolds Electric will be taking care of the electricity for the fair.
Randy Peterson from Tricor Insurance called Amy and was unavailable. Amy will be meeting
with him at the end of the month to go through contracts and set up a time for the walk around.
Motion by Mark Stead, seconded by Grant Loy to adjourn to July 21, 2014. Motion carried
