EDUCATION/FAIR COMMITTEE MEETING
Monday, June 16, 2014
9:00 a.m.
The meeting was called to order by Chairman John Patcle. Present, in addition to Patcle were Pat Schroeder,
Grant Loy, Roger Guthrie, Mark Stead, Dan Timmerman, Bob Keeney, Bev Doll, Ted Bay, Amy Olson, Lori
Vesperman, Sarah Hopkins, Linda Hahn and Herb Cody.
The meeting notice was posted at the Administration Building, Extension Office, Youth & Ag Center and
media by Jenny Dixon.
Motion by Grant Loy, seconded by Pat Schroeder, to approve the agenda. Motion carried.
Motion by Mark Stead, seconded by Dan Timmerman, to approve the minutes of the meeting held May 19,
2014. Motion carried.
Amy Olson gave the grounds and maintenance report.
Amy attended the Public Property meeting and received their opinion on restroom options for the Youth & Ag
Center. They wanted her get the Ag & Extension/Fair Committee’s opinion. Both committees chose the same
option.
Motion by Pat Schroeder, seconded by Mark Stead, to go with Exhibit 2, Option A from IIW’s proposal.
Motion carried.
Scott Pagenkopf from the Highway Department will get back to Amy on blacktop for the fairgrounds.
Roads in the parking area on the east side of the fairgrounds need gravel.
Motion by Mark Stead, seconded by Roger Guthrie to approve Youth & Ag Center vouchers. Motion carried.
Bev Doll presented Grant County Extension and Youth & Ag Center business.
Linda Hahn was present to request a reduced rate for Avery’s Race fundraiser using the Eckstein Exhibit Hall
July 17-20, 2014 with the event being held July 19. Last year Katy Pitzen gave a $150 donation. Linda also
requested a reduced rate for the Cancer Coalition fund raiser to be held in the Youth & Ag Center on
September 20, 2014.
Motion by Pat Schroeder, seconded by Roger Guthrie, to waive the fee for use of the Eckstein Exhibit Hall for
Avery’s Race fundraising event in July, 2014, and accept a donation for utilities. Motion carried.
Motion by Mark Stead, seconded by Dan Timmerman, to waive the fee for use of the Youth and Ag Center
for the Grant County Cancer Coalition fundraising event September 20, 2014. Motion carried.
Motion by Roger Guthrie, seconded by Dan Timmerman, to approve UW-Extension vouchers. Motion carried.
A joint Ag & Extension Education Committee meeting with Lafayette County will be held July 1 at 1:00 p.m.
at the Platteville Pioneer Prairie Farm.
Bev Doll shared information received from the state that UW-Extension is looking at putting a market
retention plan into place starting in 2014 through 2016.
Amy Olson presented Fair and Fairgrounds business.
Herb Cody presented a proposal to have Machinery Pete at the 2014 Grant County Fair. The cost is $1500
with mileage and expenses. Herb suggested the fair split the cost up to $750 with WGLR.
Motion by Pat Schroeder, seconded by Grant Loy, to have half interest in Machinery Pete. Motion carried.
Final Summer Festival details were discussed.
Rain insurance for the fair was discussed.
Thursday night entertainment details were discussed.
Motion by Grant Loy, seconded by Roger Guthrie, to approve Fair and Fairgrounds vouchers. Motion carried.
Contracts were signed with Newline Real Estate WGLR Country Showdown and St. Clements School for the
foodstand.
Discussion was held on pit passes. Everyone who enters pays for pit passes. South Central will be reimbursed
for their pit pass at the registration table.
Fairest of the Fair/Junior Fairest of the Fair event was successful.
The truck at the fairgrounds needs to be replaced. The fairgrounds should be put on Public Property list for
any trucks that come available. Steve Braun should be contacted to see if anything is available from surplus.
A superintendents meeting will not be held this year. Packets will be ready by July 30.
The fairgrounds received a grant from the Dubuque Racing Association in the amount of $2830.11 for two
defibrillators and two first aid kits. They will be placed in the Eckstein Exhibit Hall and the Livestock
Facility.
Blood spill kits were purchased for all buildings and vehicles on the fairgrounds.
A meeting with organizations working the beer and foodstands will be held Monday, July 7. Westview
Methodist church informed Amy they will no longer be working the grandstand foodstand.
Motion by Roger Guthrie, seconded by Mark Stead, to adjourn until July 1, 2014. The next meetings will be
held July 7 and July 21, 2014. Motion carried.
