HomeMy WebLinkAboutMinutes October 6 2014AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, October 6, 2014 9:00 a.m. The meeting was called to order by Chairman John Patcle. Present, in addition to Patcle were Grant Loy, Pat Schroeder, Roger Guthrie, Mark Stead, Dan Timmerman, Bob Keeney, Bev Doll, Ted Bay, Amy Olson, Lori Vesperman, Barb Lane, Joel Ames, Chad Fenner, Joyce Roling and Dave Timmerman. The meeting notice was posted at the Administration Building, Extension Office, Youth & Ag Center and media by Jenny Dixon. Motion by Mark Stead, seconded by Grant Loy, to approve the agenda, moving 6. a. after item 4. Motion carried. Motion by Pat Schroeder, seconded by Dan Timmerman, to approve the minutes of the meeting held September 2, 2014. Motion carried. Motion by Pat Schroeder, seconded by Dan Timmerman to move to closed session pursuant to state statute 19.85 (1) (c) considering employment, promotion, compensation or performance evaluation data of any public employee over which the governmental body has jurisdiction or exercises responsibility. Roll call vote. Voting yes - Grant Loy, Dan Timmerman, Pat Schroeder, John Patcle, Mark Stead; voting no - Roger Guthrie. Motion carried. Motion by Pat Schroeder, seconded by Dan Timmerman, to return to open session. Motion carried. Barb Lane presented information supporting the importance of the Grant County 4-H program and her desire to keep the program strong. She commented that staff in the office is always supportive if something is needed. John Patcle pointed out that the Ag & Extension Education Committee/Fair Board is 100% behind the 4-H program. Amy Olson gave the grounds and maintenance report. Amy purchased used cabinets for the North Room of the Youth & Ag Center. The Grant County Highway Department will be doing blacktopping on Monday, September 9. Amy spoke with Dave Lambert regarding replacement of the culvert at the far east entrance to the fairgrounds. This will allow easier access for semis. Motion by Roger Guthrie, seconded by Dan Timmerman, to approve Youth & Ag Center vouchers. Motion carried. Amy received a bid of $4300 to replace the manhole. It needs to be custom made. Amy will try to get bids from other businesses. Motion by Pat Schroeder, seconded by Grant Loy, to get a second bid and go with the most reasonable quote. Motion carried. Bev Doll presented Grant County UW-Extension and Youth & Ag Center business. Lancaster FFA Alumni would like to use tables and chairs for their toy show the first Sunday in December. Motion by Pat Schroeder, seconded by Mark Stead, to allow Lancaster FFA Alumni to use tables and chairs at no cost and return them in the same condition as taken. Motion carried. Motion by Roger Guthrie, seconded by Dan Timmerman, to approve UW-Extension vouchers. Motion carried. Amy Olson presented Fair and Fairgrounds business. Amy purchased a 2500 Dodge Ram diesel truck for the fairgrounds through Les Mack. Joel Ames, Classy Chassis, was present to discuss the car show at the 2015 Fair. They plan on the 10:00 a.m.-4:00 p.m. time frame. Pat Schroeder will donate meal tickets. Motion by Roger Guthrie, seconded by Grant Loy, to have Classy Chassis car show at the 2015 Grant County Fair. Motion carried. Chad Fenner from the ATV & Garden Tractor Pulling Club was present to discuss interest in the possibility of performing at the 2015 fair. Their fee is $350.00. Amy met with staff from Charger Raceway Park in Beaver Dam. They are very interested in coming to the Grant County Fair. They would like to race sprints and legends. Amy is waiting to hear back from Darkside Promotions from Maquoketa, Iowa. Amy will invite Keith from Simmons Promotions to the November Meeting. Motion by Grant Loy, seconded by Dan Timmerman, to approve Fair and Fairgrounds vouchers. Motion carried. Amy reported on the rescheduled truck and tractor pull. The committee decided pulls will not be rescheduled nor refunds given in the future. Fair income and expenses from the 2014 Grant County Fair were reviewed. The Fall District Show for fairs will be held October 9 in Tomah, Wisconsin. Amy asked who would be attending the 2015 Fair Convention and also asked if the committee would be giving a hospitality donation. Motion by Pat Schroeder, seconded by Mark Stead, to give a $25 hospitality donation to cover food at the convention. Motion carried. Amy will be taking over the Junior Livestock Auction account. An account has been set up for donations for a future digital sign for the fairgrounds. Amy shared information on the WLIC webinar. The committee will make weigh-in decisions based on the virus over the winter. Sponsorship efforts will start in November. Motion by Pat Schroeder, seconded by Roger Guthrie to keep Gold, Silver and Bronze packages the same. Motion carried. Grandstand events were discussed. Amy will invite Joe Krantz to the November meeting. Motion by Pat Schroeder, seconded by Roger Guthrie, to approve sending the livestock claim from Lancaster Veterinary Clinic in the amount of $590.63 to be paid in full on to the full county board, contingent upon clarification that amounts are correct. Motion carried. Ted Bay and Bev Doll asked for feedback from the committee on moving forward after discussing from closed session. Discussion was held on filling the Dairy and Livestock position. The committee decided a meeting should be held with the Southwest District Director present. Motion by Dan Timmerman, seconded by Mark Stead, to adjourn until November 3, 2014. Motion carried.
