EDUCATION/FAIR COMMITTEE MEETING
Monday, January 19, 2014
9:00 a.m.
The meeting was called to order by Chairman John Patcle. Present, in addition to Patcle were Grant
Loy, Pat Schroeder, Roger Guthrie, Mark Stead, Dan Timmerman, Bob Keeney, Bev Doll, Amy
Olson, Lori Vesperman, Kim Neis, Jackie Bevan, Sarah Hopkins, Denny Noble, Joe Krantz,
Marissa Vesperman, Steve Redfearn, Kari Ruff, Matt Crist, Mark and Meagan Donar and Dave
Timmerman.
The meeting notice was posted at the Administration Building, Extension Office, Youth & Ag
Center and media by Jenny Dixon.
Motion by Dan Timmerman, seconded by Grant Loy, to approve the agenda. Motion carried.
Motion by Roger Guthrie, seconded by Pat Schroeder, to approve the minutes of meetings held
December 1& 16, 2014, and January 5, 6, & 7, 2015 with corrections. Motion carried.
Amy Olson gave the grounds and maintenance report.
The North and South Rooms have been repainted and the cupboards replaced in the North Room.
The Woolwich advertising signs on the pole shed blew off and broke. There is a $500 insurance
deductible. Amy will check to see if a different material would be more suitable. The fairgrounds
will replace the signs and secure them differently.
Bids for the handicap accessible restroom were opened on Friday, January 16 at 1:00 p.m. Craig
Elskamp from IIW was present. The bids ranged from $27,650 to $46,000, with Otter Creek
Construction from Highland, WI turning in the lowest bid. IIW received references for Otter Creek
Construction that were passed on to Amy.
Motion by Mark Stead, seconded by Roger Guthrie, to award the ADA restroom project to Otter
Creek Construction, Highland, WI. Motion carried.
Motion by Dan Timmerman, seconded by Pat Schroeder, to approve Youth & Ag Center vouchers.
Motion carried.
Bev Doll presented Grant County UW-Extension and Youth & Ag Center business.
Bev Doll gave her agent report.
Performance reviews for the agents will be held February 23 at 9:00 or 9:30 a.m.
Bev shared that the Dairy & Livestock Agent Position has been posted.
Motion by Roger Guthire, seconded by Grant Loy, to approve UW-Extension vouchers. Motion
carried.
Amy Olson presented Fair and Fairgrounds business.
Follow-up discussion was held on the Wisconsin Association of Fairs Convention.
Amy shared a coaster promotion idea she brought back from a Grant County tourism meeting.
Coasters with fair sponsors’ names could be handed out to taverns advertising the 2015 fair. Dan
Timmerman will talk to the tavern league.
Kim Neis, Jackie Bevan, Mark Donar and Meagan Donar were present to discuss beef tie out during
the fair. They are concerned about cattle getting uncomfortable in the warm barn and people getting
hurt in the dark during the tie out process. Lighting is available for the outdoor tie out area.
Motion by Pat Schroeder, seconded by Mark Stead to change beef tie out time to 9:00 p.m. Motion
carried.
Joe Krantz was present to discuss the contract for Hard Hit Promotions shows at the fair.
Motion by Pat Schroeder, seconded by Roger Guthrie, to pay Hard Hit Promotions $10,500 along
with Platinum Sponsorship. Motion carried.
Steve Redfearn, Kari Ruff and Matt Crist from Lafayette County Speedway in Darlington were
present to discuss a summer race and racing at the 2015 Grant County Fair.
Discussion was held on letting the group use the facility for a race June 27, 2015, at no cost and
giving a donation to the fair. In addition the group could run the 2015 Grant County Fair Race.
Motion by Dan Timmerman, seconded by Grant Loy, to offer Lafayette County Speedway $11,500
and the back gate pit fees to manage the race at the 2015 Grant County Fair. Amy can negotiate up
to $13,500. The fair will manage the concessions and the grandstand and receive all proceeds from
concessions and grandstand attendance at the fair. This offer includes Lafayette County Speedway
holding a summer race at the Grant County Fairgrounds on June 27, 2015, with no fee being
charged, and all proceeds going to the group. Motion carried.
The rodeo being held on Friday night of the 2015 Grant County Fair was discussed.
Discussion was held on a digital sign for the fairgrounds that will be paid for through donations.
Plans have been finalized and the sign will be ordered.
Contracts were signed with the ATV & Garden Tractor Pulling Association; Dan Kirk, Juggler with
the Yellow Shoes, Tower Sound for the entertainment tent; and Dairyland Donkey Ball, LLC.
WISWIT (Wisconsin Winnebago-Istaca Travelers) will be using the Grant County Fairgrounds for
their Wisconsin State Rally July 26-29, 2015. Amy will apply for a permit for camping for this
event. A promotion committee consisting of Amy Olson, Amy Bell-Kwallek and Linda Parish was
formed.
Horse and Pony fair book changes were reviewed.
Motion by Pat Schroeder, seconded by Grant Loy, to approve the Horse and Pony fair book changes.
Motion carried.
Swine weigh-ins will remain as they were in 2014.
Motion by Roger Guthrie, seconded by Dan Timmerman, to approve Fair and Fairgrounds vouchers.
Motion carried.
Motion by Mark Stead, seconded by Dan Timmerman, to adjourn. Motion carried.
The next meeting will be held February 2, 2015 at 9:00 a.m.
