HomeMy WebLinkAboutAg & Ext Minutes March 16 2015AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, March 16, 2015 9:00 a.m. The meeting was called to order by Chairman John Patcle. Present, in addition to Patcle were Grant Loy, Pat Schroeder, Roger Guthrie Mark Stead, Bob Keeney, Bev Doll, Amy Olson, Lori Vesperman, Larry Wagner and Sarah Hopkins. Dan Timmerman was excused from the meeting. The meeting notice was posted at the Administration Building, Extension Office, Youth & Ag Center and media by Jenny Dixon. Motion by Pat Schroeder, seconded by Grant Loy, to approve the agenda. Motion carried. Motion by Mark Stead, seconded by Roger Guthrie, to approve the minutes of meeting held March 16, 2015. Motion carried. Bev Doll presented Grant County UW-Extension and Youth & Ag Center business. Three applicants will be coming for the Dairy and Livestock interviews to be held March 23. There were 16 Farm Progress Days scholarship applicants. The recipient will be decided on at the March 23 meeting. Preliminary interviews for the Community Resource Development Agent position will be held March 7 in Madison. Motion by Grant Loy, seconded by Pat Schroeder, to approve UW-Extension vouchers. Motion carried. Amy Olson gave the grounds and maintenance report. The ADA restroom is completed with the final cost under IIW’s estimate. Motion by Pat Schroeder, seconded by Roger Guthrie, to approve grounds and maintenance vouchers. Motion carried. Amy Olson presented Fair and Fairgrounds business. The spring District Meeting will be held April 16 in Richland Center. The deadline to register is April 10. Fair Day at the Capitol is March 18. The time slot to speak to legislatures regarding keeping funding for the fair is 1:30-3:30 p.m. Activities in the Scott Implement Kids Tent have been finalized. Contracts were signed with Lafayette County Speedway for the June race and the fair race. Larry Wagner from the Lancaster Fire Department was present to request use of the Eckstein Exhibit Hall on May 15 for their annual dance, and to ask to have the fee waived. Motion by Roger Guthrie, seconded by Grant Loy to waive the fee of the Eckstein Exhibit Hall for the Lancaster Fire Department’s dance, but to have them pay cost of utilities. Motion carried. Motion by Roger Guthrie, seconded by Mark Stead, to have Amy Olson charge $250 for banner advertisement on panels at the fair rodeo. Motion carried. The consensus of the committee is to keep one main sponsor for the Entertainment Tent. Woolwich Dairy and Murrays’ Dairy Farm and Refrigeration advertising signs are here. West End Salvage’s telehandler will be used to hang the signs. Contracts were signed with Hard Hit Promotions and South Central Wisconsin Tractor Pullers. It was recommended to change open class field crop entries in the fair book. Motion by Roger Guthrie, seconded by Grant Loy, to change the Plant and Soil Science Department lots for open class. There will now be only one lot each for oats, barley and wheat. Motion carried. Amy Olson met with Kari Reed and spoke with Bob Williams regarding the open swine show. The show will be held 7:00 p.m. on Thursday of the fair on a trial basis. Motion by Roger Guthrie, seconded by Grant Loy, to approve Fair and Fairgrounds vouchers. Motion carried. Sarah Hopkins requested that participants in the speaking, music and demonstration contests not to have to perform for a second time at the fair. There are conflicts with the entrants showing other projects. Motion by Roger Guthrie, seconded Mark Stead, that those who enter the speaking, music and demonstration contests are exempt from repeating their entries at the fair. Motion carried. Motion by Mark Stead, seconded by Grant Loy, to go into closed session per state statute 19.85 (1) (c) considering employment, promotion, compensation or performanc e evaluation data of any public employee over which the governmental body has jurisdiction or exercises responsibility as it relates to the performance evaluation of the Fair Manager. Roll call vote unanimous. Motion carried. Motion by Pat Schroeder, seconded by Grant Loy, to return to open session. Motion carried. Motion by Mark Stead, seconded by Pat Schroeder to update the job description of the fair manager. Motin carried. Motion by Pat Schroeder, seconded by Roger Guthrie, to adjourn. Motion carried.
