HomeMy WebLinkAboutAg & Ext Minutes November 16 2015AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, November 16, 2015 9:00 a.m. The meeting was called to order by Committee Chairman John Patcle. Present, in addition to Patcle were Grant Loy, Pat Schroeder, Roger Guthrie, Mark Stead, Dan Timmerman, Bob Keeney, Bev Doll, Amy Olson, Lori Vesperman, Joyce Rolling, Sarah Hopkins, Karlie Klas, Ted Bay, Shannon Brown, Kory Stalsberg, Joel Ames and Dave Timmerman. Bob Keeney left the meeting at 11:20. The meeting notice was posted at the Administration Building, Extension Office, Youth & Ag Center and media by Jenny Dixon. Motion by Dan Timmerman, seconded by Mark Stead, to approve the agenda. Motion carried. Motion by Pat Schroeder, seconded by Dan Timmerman, to approve the minutes of meeting held October 19, 2015. Motion carried. Bev Doll presented Grant County UW-Extension and Youth & Ag Center business. Shannon Brown, Kory Stalsberg & Ted Bay passed out their agent reports and summarized prior, current and future projects and events. A lengthy discussion was held on support for the 4 -H program with the resignation of the 4-H Youth Development Agent and the elimination of the Youth Program Assistant position, along with discussion of restructuring UW-Extension & Fair support staff. Motion by Pat Schroeder, seconded by Mark Stead to reclassify the Office Assistant II position to Administrative Assistant I. Motion carried. Motion by Mark Stead, seconded by Dan Timmerman, to place support staff under the Youth & Agriculture Center/Fair Department to allow the control of county staff under a county department. The UW-Extension agents will continue to be the direct supervisor of the staff. Motion carried. The committee would like to meet in closed session with Matt Hanson, Southwest Region Dist rict Director, before making other decisions. Motion by Pat Schroeder, seconded by Gant Loy, to approve UW-Extension vouchers. Motion carried. Amy Olson gave the grounds and maintenance & Youth & Ag Center report. There are 11 new parties using winter storage. Amy will meet with Sheri Zenz, Livestock Trust, regarding replacing doors in the Livestock Facility and bleachers. Amy received information from Millers on the price of bleachers – 3 sets with 10 rows each, holding 280 people will cost $39,240 (13,080 each). Amy received payment in full from insurance for storm damage. Motion by Grant Loy, seconded by Mark Stead, to approve grounds and maintenance vouchers. Motion carried. Amy Olson presented Fair and Fairgrounds business. Karlie Klas, a 4-H horse project member, presented her concerns of not being able to show her draft horse at the county fair because there is not a class to enter. The next 4-H Horse Project Meeting will be held November 22 at 6:00 p.m. Amy Olson and some committee members wil l attend. The committee commended Karlie for coming before the committee and presenting her information. Joel Ames, Classy Chassis, was present to discuss the contract for the 2016 Fair. Discussion was held on number of members needed to run the event, paying the club for the event, space for the event and meal tickets. Motion by Roger Guthrie, seconded by Dan Timmerman, to allow two people per car and members of the Classy Chassis club to enter the 2016 Fair at no charge. Pat Schroeder will pay for meal discounts again in 2016. Motion carried. Andy Pink contacted Pat Schroeder to make sure there would not be a problem with Classy Chassis having a car show at the Dairy Breakfast. Sponsorship letters for the 2016 Fair will be going out this week. Amy asked the committee if it would be okay to put a thank you add in the holiday section of local newspapers. They agreed it would be a good idea. The 2015 fair report was finalized. A county department inquired about using the Eckstein Exhibit Hall for the ir Christmas party. Motion by Pat Schroeder, seconded by Roger Guthrie, to allow county departments to use the Eckstein Exhibit Hall for Christmas parties at no charge, as long as a paid party doesn’t request use of the building. The building needs to be left in the same condition as it was before use. Ample notice will need to be given. Motion carried. Motion by Roger Guthrie, seconded by Pat Schroeder, to approve Fair and Fairgrounds vouchers. Motion carried. Motion by Roger Guthrie, seconded by Pat Schroeder, to approve sending the livestock claim from Lancaster Veterinary Clinic in the amount of $378.00 on to the full county board. Motion carried. Dennis Noble will be award the VIP award at the Wisconsin Association of Fairs Convention. Amy will be presenting a workshop at the IAFE Convention along with two other county fair presenters. Amy shared the High School Regional Rodeo would like to hold their rodeo the weekend of August 26, 27, & 28, 2016. They will be using the area by the horse arena only and the showers in the Crops Building. Motion by Mark Stead, seconded by Pat Schroeder, to adjourn. Motion carried.
