HomeMy WebLinkAboutMinutes July 13 2015 FairAGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, July 13, 2015 5:00 p.m. Fair Board Meeting 6:00 p.m. Food & Beer Organizations 6:30 p.m. Other Cooperators Youth & Ag Center Lancaster, Wisconsin Meeting was called to order by Chairman John Patcle. Present in addition to Chairman Patcle was Bob Keeney, Mark Stead, Dan Timmerman, Roger Guthrie, Grant Loy, Patrick Schroeder, Amy Olson, Brian Heinrichs, Brenda Halverson, and members of the organization that will be helping with operations of the fair. Meeting notice was posted in the Fair & Extension lobbies and at the County Administration building and sent to media and paper. Motion by Mark Stead, seconded by Pat Schroeder to approve the agenda. Motion carried. At 5:00 pm the Grant County Fair Board met Discussion was held on Outstanding Fair Person and three individuals were chosen. Motioned by Pat Schroeder, seconded by Grant Loy to purchase three plaques for these individuals and present them before the Livestock Auction at the fair. Motin carried. Amy requested that next year we only have one day of for walk in entries. I am in the office now every day for entries to be turned in prior to walk in days. Board agreed. Amy is also hiring a LTE to replace Susan VanNatta just for the fair. A superintendent meeting was scheduled for August 5t" at 7pm. Rain insurance was discussed for the fair and was tabled to discuss at our next board meeting. Amy handed out a summary sheet from Lafayette County Speedway from the races on June 27"' Lafayette County Speedway donated $1000.00 from that race for sponsorship for the fair. Amy gave a brief report on where we are in preparation for the fair this year. The storm that went through Lancaster created damage at the fairgrounds. Amy reported the damage to the County Clerk and was contacted by insurance. He informed Amy that he did receive the letter of damage and to have everything repaired and submit bills to him to be paid. Brad Klaas will repair the fence, grandstand vents, and Youth & Ag Center vents. Tony Nihles will trim all tree damage. Kuenster Aluminum will replace screen in Youth & Ag Center and grandstand entrance. Schmidee's Repair brought a bucket truck so that Brian could re align the race track lights. The debris on the grounds, the signs that were bent over, the grandstand overhead door pushed in, the tin on the horse barn, and removal of 3 trees was done by fairgrounds maintenance. Once all bills are turned in, Amy will contact the insurance agency to submit them. Amy reported that everything is coming together for the WIS WIT Campers. Reynolds Electric is working on adding the new outlets to poles on the grounds. Amy informed the board of our plan for the Poultry Ban and that Kory was contacted to collect saliva at the processing plant for the PEDv and PRRS viruses. Discussion was held on the Livestock Barn milk house and the repairs that have been done in the past year with Argall Dairy Systems. After further discussion the board would like to have Murray's Dairy and Refrigeration take over the repairs. Motioned by Pat Schroeder, seconded by Roger Guthrie to have Murray's Dairy and Refrigeration do all repairs in the milk house. Motion carried. Jeff from Tower Sounds was on the grounds July 2nd to put in the new sound system on the race track. The bill came in less than what was quoted and will be paid out of the fair operations in the amount of $5641.00 At 6:00 pm the Grant County Fair Board met with Food & Beer Organizations Discussion was held with food organizations regarding the nights each organizations was working, the times, how many workers are needed. Road Crew may give up Thursday night and if so Bloomington Sportsman Club is interested in taking that night. Dan will let Rob know if need be. There was nobody from St. Clement at the meeting but Kevin Raisbeck did contact Amy to let her know that they are on board to help and will have a full crew. Dan is in charge of the food stand this year. We are adding to our menu deep fried potato chips and Dan will fry them up in the morning and once we are out we are out for the day. Discussion was held with the beer organizations regarding nights each organization is working and if there was any questions they had. Same schedule as last year. At 6:30pm the Grant County Fair Board met with other cooperators. Dr. Tom Hermsen (Grant County Veterinaries) was not present for the meeting. Jack Johnson representing the Sherriff Department was present. Discussed having the same amount of man power at the fair this year and the rates. Jack will let Amy know what the rate of pay will be. Deb Reukauf (City of Lancaster) was not present for the meeting. Jim Hying representing the American Legion for admission tickets was present. Discussion on the man hours they put into the fair. We also informed him of the new signs that will be posted at each entrance and who enters each gate. Amy will get a gator for Jim to use during fair and Jim can park his camper in the same spot as last year. Representative from the Jaycees, Tammy Wagner was not present. Tammy did contact Amy and there will be some changes to the prices this year. Larry Jerrett, representing Farm Bureau, was present. They will have the same menu as last year. They might increase their prices a little. Discussion was held about food in the pits for Friday and Saturday night. We only need the Farm Bureau or Jaycees to serve in the pits on Saturday night. Neither organizations are interested in doing this anymore with having lower numbers in volunteering. The fair board will take this over and Amy will talk to Rob Nelson from Bloomington Sportsman Club to see if they can get more volunteers to help that night being they run the food stand that day. Pat Klug and Jill Jentz, representing the Sales Pavilion, were present. They will have the same menu as last year including the popcorn they started last year. Amy will ask David Bahl to spray again for flies; the grandstand will be done at the same time. They need 4 parking signs next to the pavilion. Steve Braun discussed the fire departments part of the fair. He plans to be on the grounds again this year and having EMT's helping him. Shandi Kauffman represented the Lancaster Ambulance Service. They can provide services for Wednesday night's event, Sunday afternoon event, and Sunday night's event this year only. Amy was able to get volunteers for Friday night and is still working on Saturday night. Amy informed the board that the Boy Scouts are no longer cleaning up the grandstand after the events. Lancaster Sluggers will be taking over this at a pay of $125.00 per event. Amy Olson reported Reynolds Electric will be taking care of the electricity for the fair. Randy Peterson from Tricor Insurance was present. Amy will be meeting with him in the next couple of weeks to go over the contracts and insurance forms. We will also set up a time for the walk around prior to fair. Motion by Dan Timmerman, seconded by Mark Stead to adjourn to July 20, 2015. Motion carried. Respectfully submitted Amy Olson Fair Manager
