HomeMy WebLinkAboutAg & Ext Minutes January 23 2017AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, January 23, 2017 9:00 a.m. The meeting was called to order by Committee Chairman Roger Guthrie. Present, in addition to Guthrie were John Patcle, Mark Stead, Grant Loy, Dan Timmerman, Mike Lieurance, Bob Keeney, Amy Olson, Lori Vesperman, Kory Stalsberg, Charisse Orth and James Schneider. The meeting notice was posted at the UW-Extension Office, Youth & Agriculture Center and mailed to media and Administration Building by Jenny Dixon and posted on the website by the Grant County Clerk’s Office. Motion by Grant Loy, seconded by John Patcle, to approve the agenda. Motion carried. Motion by Mark Stead, seconded by Mike Lieurance, to approve minutes of the meeting held December 19, 2016. Motion carried. Grant County UW-Extension and Youth & Agriculture Center business was presented. Kory Stalsberg, James Schneider and Charisse Orth gave agent reports. Ted Bay’s and Bev Doll’s reports were handed out to the committee. Bev Doll had information printed to share with the committee on nEXT Generation. The Horse & Pony Project asked Charisse to request the use of tables for Sunday, February 5. Motion by John Patcle, seconded by Dan Timmerman to allow the Grant County Horse & Pony Project to use 10-15, 8’ tables, for Sunday, February 5, at the Lancaster High School gym for their Tack and Craft Sale and waive the fee. Motion carried. Motion by Dan Timmerman, seconded by Grant Loy, to approve UW-Extension vouchers. Motion carried. Amy Olson gave the grounds and maintenance and Youth & Agriculture Center report. There is an issue with the furnace in the Youth & Agriculture Center. Amy is hoping it gets through this winter. Motion by Mike Lieurance, seconded by Mark Stead, to approve grounds and maintenance vouchers. Motion carried. Amy Olson presented Fair and Fairgrounds business. Tuesday night of the Fair, August 15, will be movie night. The outdoor screen will be set up in the pit area of the race track. There will be no cost for use of the screen. Expenses will include movie rental, a one night motel stay and advertising. Amy will try to obtain sponsorship for the expenses. Grandstand events are set. Discussion was held on entertainment and activities in the ag tent, kids tent and entertainment tent. A two-year carnival contract was signed with Calkins United Shows. Amy shared that this year’s fair theme will be based on a beach party. Motion by Mark Stead, seconded by John Patcle, to have the poster contest again this year. Motion carried. Motion by Dan Timmerman, seconded by Grant Loy, to have the Read & Win program with libraries again this year. Motion carried. Motion by John Patcle, seconded by Mark Stead, to continue the Fairest of the Fair and Junior Fairest of the Fair programs. Motion carried. Motion by Mark Stead, seconded by Mike Lieurance to leave the All Event Tickets at the same cost as 2016 ($25/$30). Motion carried. Motion by Mark Stead, seconded by Dan Timmerman, to leave the admission cost and exhibitor fees the same as 2016. Motion carried. Motion by Mark Stead, seconded by John Patcle to continue promoting the Fair with homemade signs throughout the community, made by 4-H Clubs. Motion carried. There will be an ATM on the grounds again this year at the Grandstand. Motion by Mike Lieurance, seconded by John Patcle, to allow Lancaster Sluggers to continue using the Eckstein Exhibit Hall. Motion carried. A contract with Lancaster Sluggers was signed. Motion by Mark Stead, seconded by Dan Timmerman to sign a two-year lease agreement with both the Farm Bureau and Lancaster Jaycees. Motion carried. Discussion was held on the swine barn. Committee members along with Amy Olson and Kory Stalsberg will visit the Lodi Ag Fair to view the swine barn. Motion by Dan Timmerman, seconded by John Patcle, to sign contracts with Lafayette County Speedway for the June 24 race and the August 16 Fair race ($14,500). Motion carried. Motion by Dan Timmerman, seconded by Mike Lieurance, to sign a contract with Tri State Truck & Tractor Pullers for Friday night, August 18 ($8,750). Motion carried. Motion by Dan Timmerman, seconded by John Patcle, to sign a contract with The Party Company for the movie night. Motion carried. Motion by Grant Loy, seconded by Dan Timmerman to sign the contract with Kindschi for the Pedal Tractor Pull ($612). Motion carried. Motion by John Patcle, seconded by Mike Lieurance, to approve Fair and Fairgrounds vouchers. Motion carried. Motion by John Patcle, seconded by Grant Loy, to pay the dog claim in the amount of $110 to the Dubuque Regional Humane Society and send on to the full County Board. Motion carried. Public Comment Amy has a meeting with Troy Dilley about wooden cut outs for the fair. Amy would like to use a yard dice game throughout the summer to give away grandstand admissions. A representative from Progo Productions will be invited to the February meeting to discuss a tower on the fairgrounds with internet service. The next meeting is scheduled for February 27 at 9:00 a.m. Motion by Mark Stead, seconded by Dan Timmerman, to adjourn. Motion carried.
