HomeMy WebLinkAbout08 Minutes August 2 2018 - FairThursday, August 2, 2018 5:30pm Present, Roger Guthrie, Bob Keeney, Gary Northouse, Mark Stead, Mike Lieurance, Amy Olson, Charisse Orth, Amber Patterson, Brian Heinrichs, Brenda Schnieder, and Jack Johnson. Meeting notice was posted in the Fair & Extension lobbies and at the County Administration building and sent to media and paper. Motion by Mike Lieurance, seconded by Gary Northouse to approve the agenda. Motion carried. Discussion on grandstand events during the fair. We will run the tug of war even if there are two teams and do the best out of 3 to win. Teams are looking good for human foosball. Lafayette County Speedway will be up this weekend to start grading the track for the races. Wyatt called from ECIPA Pullers in regards to the tractor pull on Friday night and he wanted the class that we just took out and replaced to be put back in. He has a couple of people that want to pull in that class. Amy informed Wyatt that we are paying you $7800 for the classes that you have and if you want to add a class it will come at your expense and not the fair's. Also discussed pit passes for the tractor pulls on both nights. Amy will call ATV/UTV Garden Tractor Pullers and let them know there is a charge in the pits for them as well. The livestock auction committee has made a suggestion to the Grant County Fair Board to keep extra pigs overnight Sunday because there is no room at the slaughter plants on Sunday. The fair board agreed to this as long as they have someone staying overnight with the pigs and there is help on Monday cleaning up the swine barn. Motion by Gary Northouse, seconded by Mark Stead to allow pigs to stay overnight on the fairgrounds Sunday, August 20 and be loaded out Monday morning to go to slaughter. Motioned carried. Amy brought up the fact that there was only one entry for wine this year. The fair put wine back in the fair book at a request from numerous people that we would have a large entry class if we added it back in. Amy explained the expenses that would go along with getting a judge for one entry and after discussing the fair board agreed that it isn't economical to have this class. Motioned by Mike Lieurance, seconded by Mark Stead to take out the wine class in Department 16. Motion carried. Amy will call the exhibitor and let him know. Contracts were signed for the following: • Doe's Ultimate Entertainment for $800 ► Basin Street Boys for $600 • Mr. Obvious for $400 Discussion was held on Grant County Tourism Council's recommendation regarding advertising in Hidden Valley in the fixture. This will be tabled until August 29 meeting. Jack Johnson was present to discuss policing the fairgrounds during fair. Recess until 7pm with organizations and superintendents 7pm reconvene meeting Those present were Roger Guthrie, Bob Keeney, Gary Northouse, Mark Stead, Mike Lieurance, Amy Olson, Charisse Orth, Amber Patterson, Brian Heinrichs, Brenda Schnieder, Mike Mezera, and members of the organization and superintendent that will be helping with operations of the fair. Discussion was held with food and beer organizations that were present regarding the nights each organizations was working, the times, how many workers are needed. Steve Adrian and Pat Schroeder will be in charge of the food under the grandstand as well as the beer. Suggestion by Steve Adrian to change the beer prices to 1 for $3 and 7 for $20 only. Organization and board agreed on this. Food prices will stay the same for the grandstand. Dr. Tom Hermsen (Grant County Veterinaries) was not present for the meeting. Deb Reukauf (City of Lancaster) was present for the meeting informing us that everything should remain the same as previous years. She will contact Jack Johnson to see if they can be of assistance. Paul Budden representing the American Legion for admission tickets was present. Discussion on changing the gate time to gam to 8pm instead of Sam to 8pm. Motion by Mark Stead, seconded by Mike Lieurance to change the gate time for the American Legion to gam to 8pm. Motioned carried. Also, discussed what organizations get in for free while working at the fair and that vendors do not, as they have tickets when they purchase their space. Amy will get a list of all organizations and have tablets out for people to sign. Jaycees will be purchasing $2 tickets for the cheerleading squad to come in and help at their booth. Representative from the Jaycees was present. She informed us there will not be any changes to the prices this year or menu. Peter Winch, representing Farm Bureau, was present. They will have the same menu as last year. Their prices will remain the same. Jill Jentz, representing the Sales Pavilion, was present. They will have the same menu as last year. Discussed parking signs and complimentary passes for help. Steve Braun discussed the fire departments part of the fair. He plans to be on the grounds again this year and having EMT's helping him. Jaci Edge with the Lancaster Ambulance Service was not present. Steve was here to represent the Lancaster Ambulance Service. They will cover Wednesday and both events on Sunday. Amy has made contact with area EMS services and all the other events are covered. Randy Peterson from Tricor Insurance was not present to look over insurance forms for fair. Amy will contact Randy and set up a time next week to go over the contracts and schedule the walk around prior to fair. Discussion was held on the set up in the barn due to the increase in livestock. Bob Keeney is going to meet with those superintendents in the barn next week to go over options for pens and placing of the animals. Tom Gerlach, swine superintendent will be up next week to go over the show ring with Brian and Brenda. Roger will be dropping off the curtain for Brian and Brenda to hang on the east side of the swine building. Mike Mezera, Animal Health Inspector was present to go over rules and what needs to be turned in for paperwork for the fair. Motion by Mark Stead, seconded by Mike Lieurance to adjourn.
