HomeMy WebLinkAbout02 Minutes February 18 2019AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, February 18, 2019 9:00 a.m. The meeting was called to order by Committee Chairman Roger Guthrie. Present, in addition to Guthrie were John Patcle, Mark Stead, Gary Northouse, Bob Keeney, Amy Olson, Paul Ohlrogge, Lori Vesperman, James Schneider, Amanda Cauffman, Charisse Orth, Susan Kraus, Angie Wright, Tonia Vial, Jean Patten, Nancy Rutherford and Dave Fritz. Mike Lieurance was excused. The meeting notice was posted at the UW-Extension Office, Youth & Agriculture Center and mailed to media and Administration Building by Lori Vesperman and posted on the website by the Grant County Clerk’s Office. Motion by John Patcle, seconded by Gary Northouse, to approve the agenda. Motion carried. Motion by Gary Northouse, seconded by Mark Stead, to approve minutes of the meeting held February 4, 2019. Motion carried. Grant County UW-Extension and Youth & Agriculture Center business was presented. Agent reports were given two weeks ago. Reports will be given again on March 18. A Livestock Auction Committee meeting will be held at 7:30 p.m. on February 27. Paul Ohlrogge gave the Area Extension Director update. Area 17 four-county training was held in Dodgeville on February 11, with program areas meeting in the afternoon. Thirteen Grant County Tourism Grant applications requesting a total of $14,250 were received. A total of $10,000 was available for awards, $5,000 allotted for Social Media Category and $5,000 allotted for New Project Development Category, with the option to apply the amount not awarded in Social Media to New Project Development. Representatives from organizations were invited, but not required to attend the meeting. The committee discussed, scored and ranked applications at the end of the meeting. Motion by Mark Stead, seconded by Gary Northouse, to approve the five social media application requests totaling $2,400. Motion carried. Motion by Mark Stead, seconded by Gary Northouse, to allocate the remaining $2,600 from the Social Media category to the Event/Project Category. Motion carried. Motion by Mark Stead, seconded by Gary Northouse, to approve Event/Project applications 6-9 the full amount each requested, totaling $6,000. Motion carried. Motion by Mark Stead, seconded by Gary Northouse, to award application 10 the full amount of $1,350 requested, and $250 to application 11. Motion carried. The following was awarded: Social Media Category Event/Project Category Amy Olson gave the grounds and maintenance and Youth & Agriculture Center report. Amy Olson presented Fair and Fairgrounds business. Amy has been working on sponsorship and vendors. Fairbook changes were discussed. Photography - change tags to match information in the fairbook; change putting video on CD to putting on flash drive; removal of four-picture entries in two categories, making it a three-picture entry. Motion by Mark Stead, seconded by Gary Northouse, to approve fairbook changes. Motion carried. Discussion was held on the April 9 pork fundraiser for the swine barn. Discussion was held on entertainment for the 2019 Fair. Motion carried. Discussion was held on the June 7 tractor pull. Pit admission will be given to two people per tractor, whether they are a member or not. Truck classes were also discussed with one change. Amy will be applying for a DRA grant to improve the stage and replace the drapes in the Auditorium of the Youth & Agriculture Center. She received prices from Gopher Stage Lighting for the drapes and Hermsens for tile and carpet for the stage. The total grant amount being applied for is $10,040.62. Motion by Mark Stead, seconded by John Patcle, to approve Amy’s request to apply for the DRA Grant. Motion carried. Motion by John Patcle, seconded by Gary Northouse, to approve fairground vouchers. Motion carried. Amy updated the committee on non-lapsing funds after attending the Executive Committee Meeting. Funds will be used to pay off the swine barn. After the swine barn is payed for, Amy will need to request the funds yearly to be used for capital improvements. Motion by Gary Northouse, seconded by John Patcle, to approve the livestock claim in the amount of $600 to the Grant County Humane Society and send on to the full county board for approval. Motion carried. Amy would like to attend the Zone 4 Meeting in Sioux Falls, SD, March 24-27. Expenses would include registration, flight and motel room. She would leave on Sunday and return on Wednesday. Motion by Mark Stead, seconded by John Patcle, to adjourn. Motion carried.
