Elm Street Suite B Lancaster, WI 53813 (608) 723-2135 Email – aolson@co.grant.wi.gov www.grantcountyfairwi.org AGRICULTURE AND EXTENSION EDUCATION/FAIR COMMITTEE MEETING Monday, Tuesday, Wednesday January 7, 8, 9, 2019 Chula Vista Resorts Wisconsin Dells, WI Monday, January 7 The meeting was called to order by Chairperson, Roger Guthrie, in addition to Chairperson Guthrie were Mike Lieurance, John Patcle, Bob Keeney, Pat Schroeder, and Amy Olson. The meeting notice was posted at the Administration Building, UW-Extension Office, Youth & Ag Center, and media by Amy Olson. Motioned by John Patcle, seconded by Mike Lieurance, to approve the agenda. Motion carried. Committee members and I attended workshops and the trade show. Discussion on what events we already have in place and what we need to look for during convention. Any information on ATV/UTV racing or motor cross could be a possibility. Amy was a room moderator at a networking session from 12-1pm. Committee members and I met with Calkins United Show to discuss last year’s carnival and continuing a contract in the future. We currently have two years left in the contract (2019 & 2020) with Calkins United Shows. Amy Olson had Ben Wood write up an amendment to the contract prior to convention, as a result of a breach of contract in 2018 between Grant County Fair and Calkins United Shows. The amendment to the contract is only for a one year (2019) and that Calkins United Shows will provide 20 fully operational rides of various types. Contract was signed by Cindy Dills and Barb Larkee along with Roger Guthrie and Amy Olson. We expressed our concerns with the carnival and Calkins United Shows understood and said they are working on sharing some rides with another vendor to bring other rides to our fair. Barb is supposed to send pictures of the new rides to Amy so they can be advertised to help with sales for the 2019 fair. Recess til call of Chair. Tuesday, January 8 Those present were Roger Guthrie, John Patcle, Mark Stead, Bob Keeney, Mike Lieurance, and Amy Olson Committee members and I attended workshops and the trade show. Information was brought back for Monster Trucks, Escape Trailer, Brew City Wrestlers, and other entertainment. Motion was made by Mark Stead, seconded by Mike Lieurance to sign a contract with Brew City Wrestlers for $3500. Motion carried. Amy, Roger, and Bob will meet with Frankie from Brew City Wrestlers tonight to work out details and sign the contract. Amy met with Regalia and ordered ribbons for fair. Amy also met with Tower Sound in the trade show to make sure we were set for 2019. Contract is good with them through 2020. Met with South Central Wisconsin Pullers at the trade show and signed a contract with them again for August 17 in the amount of $5100. Discussion on the Optimist Cheese Curd stand at the fair. They need to contact Amy for passes for their workers and not print passes of their own. Amy will add a letter inside their contract stating this. Discussion was held on the June 7 tractor pull. Further discussion will be held at our January 28 meeting. Recess til call of Chair. Wednesday, January 9 Those present were Roger Guthrie, John Patcle, Mark Stead, Mike Lieurance, and Amy Olson. Committee members and I attended workshops, the business meeting, and the district meeting. District meeting was called to order. Discussion on the hotel accommodations along with convention workshops. WAF did sign a contract with Chula Vista to have the convention here for the next three years. Lori from Lodi Ag Fair expressed her concerns with having a chaperone with the state fairest when she comes to visit and your own fairest. Amy and Marla will present the concern to the Board of Directors at the meeting in March. Next meeting is Monday, January 28, 2019.
